Scanning Documents

There are two options for scanning:

When you choose Scan All Documents, you are scanning all of the documents in your project; when you choose to Scan Selected, you are scanning a specific item in (such as a document, book, or master document).

The following sections will discuss how to set the scanning options for a project, how to scan a single source document, and how to scan all source documents in a project.

When to Scan Documents

Scan your source documents when you have made any of the following changes to your source template:

Setting the Scanning Option

The scanning process can be time-consuming. You can reduce the amount of time that ePublisher Express takes to scan your documents by setting the scanning option to scan your documents manually. You can either opt to have ePublisher Express prompt you to scan your source documents or you can choose to never have ePublisher Express scan your source documents; in the latter case, you will need to remember to manually scan your source documents whenever any changes to the styles, conditions, variables or markers have been made.

To set the scanning options:

Go to Edit > Preferences.

For the option to Scan added documents, select one of the following:

Choose Ask if you want ePublisher Express to prompt you to scan your source documents every time you add new documents to your project.

Choose Always if you do not want ePublisher Express to prompt you to scan your source documents. When you choose this option, ePublisher Express will automatically scan your documents for style and formatting information when you add new documents to your project.

Choose Never if you want to manually scan your source documents yourself each time you add new documents to your project. By choosing this option, ePublisher Express will never scan your documents unless you command ePublisher Express to do so. If you choose Never, you will need to manually scan your source documents.

Scanning Adobe FrameMaker Books

When adding a FrameMaker book file to a group, the contents of the book will not display in the Document Manager until the FrameMaker book has been scanned. Since the default scanning option for ePublisher Express is set to Always, the FrameMaker files will be added to your project automatically; however, if you have changed this option to Never, you will need to manually scan the documents, or if you have set this option to Ask, you will need to click Yes when you are prompted to scan your source documents.

Scanning Microsoft Word Master Documents

When adding a master document to a project, the referenced documents will not display until the master document has been scanned. Since the default scanning option for ePublisher Express is set to Always Scan, the referenced documents will automatically be added to your project; however, if you have changed this option to Never, you will need to manually scan the documents, or if you have set this option to Ask, you will need to click Yes when you are prompted to scan your source documents.

Scanning an Individual Document

Oftentimes, you might make a change to a style, condition, variable, or marker in a single source document, and need to include that new information in your project. You can do so by manually scanning an individual source document.

To manually scan a source document:

Choose Project > Scan Selected.

Scanning All Documents

If there have been multiple changes to the style information, conditions, variables, or markers in your source documents, then you may opt to scan all of the source documents in your project at once. By doing this, you ensure that any changes to any of your source documents will be picked up by ePublisher Express.

To manually scan all source documents in your project:

Choose Project > Scan All Documents.
